not a ticket queue — a 30-minute call that ends with a written scope.

Every Rowan engagement starts the same way. You describe the practice — specialty, seat count, EHR, who holds the Microsoft 365 admin — and we leave the call with a fixed scope between $400 and $1,500, confirmed to you by email before anything is touched.

Routing

Email is fine for paperwork and terrible for an active incident. Here’s which channel gets the right person reading the right thing, fastest.

PDF attachments are fine. Cyber-insurance renewal forms usually ask about MFA, backups, and EDR — we can help answer them accurately.

thirty minutes, five agenda items, one written price

Send the form and we book the intake call. It’s free, it runs to a fixed agenda, and it ends with a number you can take to the doctor.

Describe systems, not people. We never need patient names, dates of birth, or chart screenshots to scope anything.

The call, minute by minute

  1. The practice

Specialty, operatories or exam rooms, locations, headcount at the front desk.

  2. The systems

EHR or PM software, Microsoft 365 or Workspace, who holds global admin, the imaging PCs.

  3. The trigger

An insurer questionnaire, a strange invoice email, a departing employee, a letter from OCR.

  4. The scope

Which of RX-01 to RX-04 fits, in what order, and what stays with your MSP.

  5. The price

One fixed number, $400–$1,500, sent to you in writing after the call.

Inbox hygiene

four things that should never land in our inbox

A security firm that asks for your passwords by email has failed its own assessment. These stay at the practice — always.

send this instead

Practice type, workstation count, EHR name, and who runs your IT today. That’s enough to scope any of the four engagements.

back to the intake form
  1. patient names, dobs, or chart screenshots

Describe the system, not the person: “Dentrix shows a login error on the operatory 2 PC” tells us everything we need.

  2. passwords or mfa codes

We will never ask for one by email, text, or phone. If someone claiming to be Rowan does, that’s your phishing drill arriving early — call us.

  3. bitlocker recovery keys

They belong escrowed in Entra ID or your password manager, not in anyone’s inbox — ours included.

  4. the suspicious attachment itself

Screenshot the sender line and subject instead. Forwarding the payload just gives it a second chance to run.
